Hi everyone! This is set up to help us get organized for the Sweater Weather Run on January 3rd. It’s much easier for me to keep everything in one place using Trackie.

I’m really looking forward to this trip and am so grateful to all of you who are coming and supporting your runners—it's going to be such a fun and meaningful experience!

**RISK ASSESSMENT – SWEATER WEATHER RUN TRIP (CANMORE, AB)**
**Date: October 2nd to the 5th 2026*

### **Overview**

This trip involves youth participants traveling from Yukon to Canmore, Alberta to participate in a running event. Activities include air/ground travel, accommodations, group runs, and event participation.

### **1. Transportation Risks**

**Risks:**

* Flight delays or cancellations
* Injury during transit (airport, shuttle, walking)
* Lost participants in transit

**Mitigation:**

* Adult supervision at all times (set ratios)
* Clear travel itinerary shared with families
* Head counts at every transition point
* Participants travel in buddy groups
* Emergency contact list carried by all leaders

### **2. Accommodation Risks**

**Risks:**

* Injury in rental house (stairs, kitchen, etc.)
* Participants leaving accommodation unsupervised
* Fire or emergency situations

**Mitigation:**

* Safety briefing on arrival (exits, rules)
* Curfew and room assignments
* No leaving accommodation without permission
* Adults present in accommodation overnight
* Emergency plan reviewed with participants

### **3. Running Event Risks**

**Risks:**

* Slips, trips, and falls
* Overexertion or fatigue
* Getting lost on course
* Contact with other მონაწილators

**Mitigation:**

* Participants registered in appropriate distances
* Pre-race briefing and course overview
* Coaches positioned along course if possible
* Clear meeting point after race
* Emphasis on pacing and listening to their bodies

### **4. Weather & Environmental Risks**

**Risks:**

* Cold temperatures, rain, or snow
* Hypothermia or dehydration

**Mitigation:**

* Required gear list (layers, gloves, proper footwear)
* Weather monitored in advance
* Adjust plans if conditions are unsafe
* Encourage hydration and proper nutrition

### **5. Health & Medical Risks**

**Risks:**

* Pre-existing conditions (asthma, allergies, injuries)
* Illness or injury during trip

**Mitigation:**

* Medical information collected in advance
* First aid kit carried by leaders
* Access to local medical services identified
* Emergency contact numbers readily available

### **6. Supervision & Behaviour**

**Risks:**

* Unsafe behaviour
* Emotional or social challenges in group setting

**Mitigation:**

* Clear code of conduct shared in advance
* Adult supervision ratios maintained
* Daily check-ins with participants
* Safe, inclusive environment emphasized

### **7. Safeguarding & Wellbeing**

**Risks:**

* Participant distress, homesickness, or conflict
* Emotional safety concerns

**Mitigation:**

* Trusted adult available for support
* Open communication encouraged
* Trauma-informed, supportive approach
* Clear reporting process for concerns

### **Emergency Plan**

* Emergency contacts carried by all leaders
* Access to nearest hospital/medical clinic identified
* Parents/guardians contacted immediately in case of emergency
* Trip leader responsible for coordination
